You can set restrictions for a functional role — they allow you to define the stage executor more precisely. Functional restrictions do not affect the visibility of sections, documents and tasks, but are used only to select the executor.
There are several types of restrictions:
- by department/employee;
- by work area;
- by company/legal entities;
- by document amount;
- by all company;
- by warehouse;
- by assigned counterparty.
With the help of multiple restrictions, you can fine-tune the stage executor. For example, set the «by company» and «by employee» restrictions so that the documents of a certain organization and from a certain employee come to a specific executor.
Example of a functional role set up
Let's consider an example: in a group of companies, several accountants process incoming primary documents, but each of the accountants works with the documents of a certain legal entity:
- Ivanov I.I. — LLC «Kadr»;
- Sidorov A.A. — LLC «Master Plus».
Chief Accountant Smirnov A.V. signs all the documents which transaction amount exceeds 1 000 000 rubles.
To set up a business process, create the «Accountant» role and add restrictions:
- Add Ivanov I.I. employee and set a restriction by the LLC «Kadr» legal entity.
- Set up a restriction of up to 1 000 000 rubles.
- Add Sidorov A.A. employee and set a restriction by LLC «Master Plus» legal entity of up to 1 000 000 rubles.
- Set up a restrcition for the chief accountant — add Smirnov A.V., click «restrict by document amount» and specify «from 1 000 000».
- Save the role. Select the «By restriction type» grouping and check the employees' restrictions.
You have created a functional role.
